Virtual Skies Staff Code of Conduct and Non Disclosure Agreement
The following is the code of conduct and non disclosure agreement we require staff to agree and abide by:
- You are deemed to be on duty when conducting any operation for the network, including and not limiting; responding to e-mails, forum posts and member requests as well as going about your regular duties on the website and network.
- We ask that all emails being sent to you are replied to within 48 hours of receipt (with the exception of planned absence), this includes department/division forum posts and private messages.
- Any posts/messages contained in any staff forum or email are confidential. This means that they must not be under any circumstances discussed outside of the staff forum/team, by any means (Verbal, Written etc)
- Confidential information may only be distributed when written approval has been given from your manager or director.
- You may read confidential posts in the staff forums or hear confidential information in meetings regarding other members. This information must not be relayed/quoted/transmitted outside the staff team under ANY Circumstances
- You may not change or distribute any members information or rating without approval (including yours).
- You must not share any of your account details (CID & Password) with other members, friends or family. Your CID will grant you access to confidential information and areas of the website. These area's are confidential for a reason.
- You will represent the best interests of Virtual Skies at all times, including when you are off duty, in other forums (non Virtual Skies) or media whilst you are a member of the staff team. Try to keep the Virtual Skies public image positive.
- If your position is terminated or you resign, you are requested to return any given software. You must destroy any documents, information or emails whether confidential or general.
- It is possible every now and then that debates or discussions turn into arguments. The following must be conducted in this situation:
- You must not take sides or express an opinion that a side or person may have taken
- Remember that as staff you must not inflame the situation
- If you have forum moderation privileges, you may lock the thread
- Never get involved in the argument
- If need be, refer to the person to the BoD or Division Director
- If you receive a rude, demanding or unreasonable request from a member - this will not be tolerated. In the event of a matter, please do the following:
- Stay calm, professional and do not sink to their level
- Reply in a calm manner
- Do not offer to rectify the situation
- If you nee help, email or ask another member of staff
- If the member is not happy with the service they receive from you then they should contact your manager/director (Give them the relevant email address)
- Don't be afraid to say no
- If needed, refer to the BoD (including all supporting information). They will decide upon the appropriate situation
Compliance of this policy by all staff is compulsory and any deviation from this policy may result in dismissal from your staff position and/or the network. This agreement of non-disclosure is subject to change. You will be notified of such changes in writing prior to them being published.
